Automating the apply-to-admit journey, domestic and international

Curtin University's admissions communications ran across multiple disconnected tools, leaning on manual processes that confused applicants and consumed staff time. The Garden built the automated Marketo campaigns that carried applicants from submission through to accepted offer.

The challenge

Curtin needed its Marketo nurtures aligned to the apply-to-admit process, with external expertise on configuration, campaign logic and automation strategy. A lack of integration between offer management, CRM and marketing automation forced manual work and made real-time personalisation impossible, exactly when applicants needed timely, clear prompts to complete applications and accept offers.

Our solution

We mapped the admissions journey in LucidChart, business logic and Marketo logic side by side, then built incrementally: automated workflows for domestic and international applicants covering application submission, offer conversion and offer deadline reminders, with email templates revamped to Curtin’s brand guidelines and user acceptance testing at every stage.

Marketo’s webhook API connected the university’s CRM to the automation platform, so campaigns fired on real application and offer status. Tokens, Velocity scripting and segmentation-based dynamic content personalised every message, while revised copy sharpened clarity and urgency.

The results

The program influenced 60% of all accepted offers, with emails opening at 80% and clicking through at 34%. Un-submitted applications fell, staff efficiencies improved as campaign logic ran itself, and applicants got a personalised journey from application to acceptance.
