Simonds Homes is one of Australia's most established home builders. Simonds entered a joint venture with Atlas to expand into Western Australia: a new brand that would operate under the Simonds instance and follow the existing sales and marketing playbook, but that had to remain completely separate from the core business for legal and operational reasons. The Garden was engaged to design and build that environment inside Simonds' existing HubSpot instance.

The challenge

Simonds needed the WA joint venture sales team to work inside the same HubSpot portal as the core business, reusing familiar processes, reporting structures and ways of working, while guaranteeing that joint venture customer data, leads and staff access stayed fully separate from Simonds for legal reasons.

Every existing asset had been built without that distinction in mind: contacts, deals, companies, forms, marketing emails, workflows and reports. Nothing could simply be duplicated. It all had to be re-architected so that Simonds and joint venture data never crossed over, while both business units kept a consistent, like-for-like experience of the platform. The project also carried a fixed go-live date, so the build, testing and handover had to land inside a single sprint.

Our solution

We reviewed the existing HubSpot architecture to identify every object, property and workflow the WA launch would touch, then mapped a partitioning approach using HubSpot’s native Business Unit functionality, and defined user permission and team structures so joint venture access sat cleanly apart from Simonds staff with Admin as the only shared layer.

The new business unit was created and configured with its own brand-level setup: logo, domain, colours, fonts and styling, so its assets are visually distinct. Every existing asset was reassigned to the Simonds brand first, establishing a clean baseline before any joint venture build started.

On lead capture, the enquiry form now tags every submission with the joint venture brand and creates or updates a contact in a dedicated view, with no risk of crossing over with Simonds contacts. A round-robin workflow assigns ownerless leads to team members in rotation, and a task assignment workflow creates a follow-up task the moment a lead is given an owner. An active contacts list isolates every joint venture lead and doubles as a suppression filter inside the existing Simonds workflows, so each brand’s automation runs cleanly.

For reporting, a user-level brand property means scorecard records inherit the right brand automatically, giving WA leadership a joint-venture-only view of calls, contacts, deals, walk-in traffic, deposits and sales advice against target, refreshed daily. We ran a full end-to-end test of the form to contact to workflow to owner assignment flow, audited the segregation rules, and delivered a technical handover with step-by-step test criteria.

The results

Simonds and the WA joint venture now operate inside a single HubSpot instance with genuine data isolation. Contacts, staff, workflows and reporting for each brand are kept fully separate, satisfying the legal requirement behind the joint venture, and validation confirmed no cross-brand visibility in any report.

By replicating proven infrastructure rather than building from scratch, the WA team started on a familiar, tested process from day one. Leads are captured, brand-tagged and distributed automatically, removing manual assignment entirely, and suppression logic protects the existing Simonds workflows from cross-contamination without manual policing. Leadership has a dedicated performance dashboard filtered exclusively to joint venture data.
